An AI voice agent can turn a real estate enquiry into a booked site visit by calling the lead within minutes, asking a few qualifying questions, offering concrete visit slots, confirming the booking, reminding the buyer before the visit, and following up after a no-show. It does not negotiate price or close the sale. Its job is to put a qualified buyer in front of a salesperson at the site.
This playbook is written for Indian developers, channel partners, and brokerages that receive leads from property portals, ads, and walk-ins. It covers funnel design, timing, qualification, the RERA rules on advertising, reminders and no-show recovery, hand-off to sales, and language choices by city, and it avoids promising any conversion figure we cannot source.
Why is the site visit the metric that matters?
Property is a high-consideration purchase. Buyers rarely commit based on a brochure or a call, so the physical visit is the first moment of real intent and the stage where sales teams can actually sell. Counting enquiries tells you what your marketing spent. Counting booked and completed visits tells you whether the calls are working. Everything in the funnel below is designed to move a lead one step closer to a completed visit.
What does the lead-to-visit funnel look like?
- 01Lead captured: a portal, website form, ad, or missed call creates a record with name, number, project, and source.
- 02First call: the AI agent calls promptly, confirms interest, and runs a short qualification.
- 03Slot offered: if the lead qualifies, the agent offers two or three specific visit slots and books one.
- 04Confirmation: the buyer receives the booking details by an approved channel, and the sales calendar is updated.
- 05Reminder: the agent or a message reminds the buyer before the visit, and offers a reschedule.
- 06Visit and hand-off: the sales executive meets the buyer, with the call summary already in hand.
- 07No-show recovery: if the buyer misses the visit, a follow-up call offers a new slot.
- 08Nurture: leads not ready now go into a lighter follow-up sequence with a clear next date.
How quickly should you call a portal lead?
Fast, because portal enquiries are often sent to several developers at once, and the buyer's interest fades as other calls arrive. Speed-to-lead research outside real estate, collected in our statistics roundup, points the same way: the earlier a lead is contacted, the more likely contact is made. We deliberately do not quote a real estate conversion figure, since we have no verified Indian real estate benchmark to cite.
- Trigger the call automatically on lead creation, not on a batch schedule.
- Call within the hours you have defined as appropriate, and queue overnight leads for the next morning with a clear first-call rule.
- Retry unanswered leads at different times of day, capped at a number you choose, then switch to a message or a human follow-up.
- Treat the first call as a response to the buyer's own enquiry, and say which project and portal the enquiry came from, to avoid sounding like a cold call.
- Honour opt-outs immediately.

What qualification questions should the agent ask?
Keep qualification to a handful of questions that determine whether a visit makes sense and which executive or project to match. Ask them conversationally, one at a time, and let the buyer skip any they prefer not to answer. A call that feels like an interrogation loses the visit it was meant to book.
| Question | Why it matters | Example phrasing |
|---|---|---|
| Purpose | End use versus investment changes the pitch | Kya aap khud rehne ke liye dekh rahe hain ya investment ke liye? |
| Configuration | Matches the buyer to available units | Aap kitne BHK dekh rahe hain? |
| Budget range | Filters out unit types that cannot fit | Aapka approximate budget range kya hoga? |
| Possession timeline | Ready-to-move versus under-construction | Aapko possession kab tak chahiye? |
| Preferred location | Routes to the right project | Kaunsa area aapko convenient rahega? |
| Financing | Flags buyers needing a loan conversation | Kya aap home loan lene ka plan kar rahe hain? |
| Visit preference | Moves to booking | Weekday ya weekend, kaunsa din theek rahega? |
Capture answers as structured fields in your CRM, with the buyer's own words alongside. Do not make eligibility decisions or promise unit availability or pricing the agent cannot confirm from your inventory system. What does RERA mean for how the agent talks?
The Real Estate (Regulation and Development) Act, 2016 requires promoters to register projects with the state Real Estate Regulatory Authority. Section 11(2) of the Act says that an advertisement or prospectus issued or published by the promoter must mention prominently the website address of the Authority, where all details of the registered project have been entered, and include the registration number obtained from the Authority. That wording is from the text of the Act as published on Indian Kanoon.
That section is about advertisements and prospectuses, not about phone calls specifically, and we are not saying how a regulator would treat a call script. What we can say practically is that your agent should only discuss registered projects, should be able to state the project's RERA registration number when asked, and should not make claims that differ from your registered project details. States also run their own RERA authorities with their own rules and circulars, so confirm the requirements for each state you sell in with your legal counsel.
- Load the RERA registration number for each project into the agent's knowledge base, and have it share the number on request.
- Keep possession dates, areas, and prices in the agent's script aligned with registered and approved project information.
- Do not allow the agent to promise returns, appreciation, or guaranteed outcomes.
- Route any question about legal title, approvals, or contracts to a human.
How should slots be confirmed and reminded?
Offer specific options rather than asking 'when are you free?', since open questions stall. Offer two or three slots drawn from the real sales calendar so a booking never needs a manual check. Read the booking back (project, date, time, address or meeting point) and ask the buyer to repeat the time, which catches mishearing. For a Hinglish call, make sure dates and times are normalised carefully, as covered in our Hinglish testing guide.
- Send the booking details by an approved channel, with a map link or landmark directions for the site.
- Remind the buyer shortly before the visit with an easy way to confirm or reschedule, such as pressing a key or replying.
- Tell the buyer who they will meet, and how to reach that person if they are running late.
- Offer to arrange a site cab or share transport directions, only if your team actually provides it.
- Update the sales calendar the moment a booking changes, so executives are never waiting for a buyer who rescheduled.
What should happen after a no-show?
No-shows are normal in property, and a missed visit is often a scheduling issue, not lost interest. Call the buyer later the same day or the next day with a friendly, no-blame message, ask what happened, and offer a new slot. Capture the reason: the date was inconvenient, the location was far, the buyer has paused the search, or they chose another project. Reasons are useful data for sales and marketing.
- Cap the number of recovery attempts and then stop, moving the lead to nurture.
- If the buyer has moved on, record it, thank them, and close the loop politely.
- If the buyer is still interested but price or location was an issue, hand over to a human to discuss alternatives.
How should the hand-off to sales work?
A good hand-off means the sales executive knows what the buyer said before they meet. The agent should write a short summary to your CRM: purpose, configuration, budget range, possession timeline, any objections, the language the buyer prefers, and the confirmed visit slot. Where the buyer asks for a person immediately, or raises a topic the agent should not handle, such as legal queries or negotiation, transfer to a human with context.
Connect the agent to your calendar and CRM so bookings and notes flow without copy-paste. Vaami's integrations include Google Calendar, HubSpot, and Zapier for routing data to other tools, and you should confirm which fit your stack during a demo.
Which language should the agent use in each city?
Let the buyer's language lead. As a rule of thumb for design, not a statistic, Hindi and Hinglish suit Delhi NCR, Mumbai, Pune, and much of north and central India. Kannada, Telugu, Tamil, Malayalam, Marathi, Bengali, and Gujarati matter in their home markets, and many buyers in Bengaluru, Hyderabad, and Chennai mix English with a local language. Our Hindi page covers Hindi coverage, and the languages hub lists the rest.
- Offer a language choice early, and remember it for later calls.
- Pronounce project, locality, and developer names correctly: test them aloud before launch.
- Test numbers, budgets in lakh and crore, and carpet-area figures in every language you plan to use.
- If you advertise in a language, make sure the call can be conducted in it.
A note on channel partners and brokers: if leads arrive from several partners, record the source on every call and make sure two partners are not calling the same buyer about the same project. Duplicate calls are a fast way to lose a buyer's trust, so decide who owns a lead and for how long before the agent starts dialling.
How to measure it, and when not to use it
Define your baseline before launch. Track lead-to-first-contact time, contact rate, qualified rate, visit-booked rate, visit-completed rate, no-show rate, and cost per completed visit, each by source, project, and city. Compare against a similar period or a hold-out group, since seasonal launches and marketing pushes can distort a simple before-and-after comparison. We offer no target values because they differ widely by market and project.
- Not a replacement for human selling: the agent books visits and does not negotiate or close.
- Not suited to leads who explicitly asked for a message-only follow-up.
- Check consent and DLT/DND obligations for outbound calls; see our DLT explainer and TRAI pages before launching campaigns.
- Do not use it to contact numbers bought in lists with no relationship to your project.
