Job to be done: move enquiries to enrolment

Admissions follow-up calls that reach every enquiry and every deadline

An admissions follow-up agent calls each enquiry soon after it arrives, answers routine questions about programmes and process, reminds applicants and parents of document and fee deadlines, and passes serious prospects to a counsellor with the conversation summarised. It does not replace counsellors; it makes sure no enquiry is left uncontacted.

Who it is for

Who should use this?

Schools and school groups

Admissions offices that receive a surge of enquiries during a short season and must reach parents before they commit elsewhere.

Colleges and universities

Institutions handling enquiries across many programmes, intakes and scholarship categories.

Coaching and test-prep centres

Centres where batch start dates and seat limits make timely follow-up decisive.

Skilling and online-programme providers

Providers with large lead volumes, rolling intakes and counsellors who spend too much time on first-touch calls.

The problem

Why do admissions enquiries stall between interest and enrolment?

Education admissions is a seasonal funnel with long gaps. A parent fills a form, receives a brochure, and then waits. Counsellors have more enquiries than hours, so follow-up favours the most promising leads and the rest are contacted late or not at all. Meanwhile families are talking to several institutions and the one that explains the process clearly and calls back first often becomes the reference point.

Deadlines are the second leak. Applicants miss document submission dates, entrance-test slots and fee instalments not out of disinterest but because the information sits in an email that was never opened. A voice reminder to a parent, in their preferred language, is more likely to be heard and gives them the chance to ask a quick question immediately.

The third issue is the load on counsellors. Many first calls ask the same things: eligibility, fees structure, hostel, scholarships, how to apply. If an agent can answer these from your approved material and capture the family's situation, counsellors can spend their time on guidance and decisions. Counselling itself, especially for stressed students and parents choosing a future, stays human.

Call flow

How does the call work, step by step?

  1. 1

    Receive the enquiry

A web form, ad lead, campus fair list or CRM record provides the student or parent name, phone number, programme of interest and the intake they asked about.

  2. 2

Confirm who is on the phone

The agent establishes whether it is speaking with the student or a parent or guardian, and adapts accordingly. For a minor, the parent or guardian is the person who is addressed.

  3. 3

    Introduce the purpose

A short description of why the call is happening, naming the enquiry the family submitted.

  4. 4

    Answer routine questions

Programme structure, eligibility, application steps, key dates and fee headings are answered from the material you supply, with a clear 'I'll have a counsellor confirm' when something is out of scope.

  5. 5

    Capture the profile

Current class or qualification, programme preference, location, and timeline for admission, recorded as fields for the counsellor.

  6. 6

    Offer the next step

A campus visit, a counselling call, a webinar slot or a document checklist by message.

  7. 7

    Book the counsellor

A callback or meeting is booked in the counsellor's calendar at a time the family chooses.

  8. 8

    Send deadline reminders

Later calls remind applicants of document, test and fee dates, and note whether the family has questions or needs a link.

  9. 9

    Record the outcome

Each call yields a status such as interested, needs counsellor, not interested, wrong number, with a summary written to the CRM.

Compliance notes

What compliance questions come up?

  • Children's data needs particular care. Section 9 of India's Digital Personal Data Protection Act, 2023 requires verifiable consent of a parent or lawful guardian before processing a child's personal data, and prohibits tracking, behavioural monitoring of children and targeted advertising directed at them. In practice, address calls about a minor's admission to the parent or guardian, and avoid collecting more about the child than the admission process needs.
  • Whether a call to an enquirer is promotional or service-related, and how DND applies, is a classification your legal advisor should confirm. Calls to someone who asked to be contacted are treated differently from cold lists.
  • Record calls only with disclosure, restrict access to transcripts, and set a retention period. Under DPDP, retain family data only as long as the admission purpose needs it.

This page is general information, not legal advice. Have your own counsel confirm how rules apply to your business. Read more: TRAI & DLT for AI calling, DPDP and call recording, DND registry and AI calls. Definitions are in the voice AI glossary.

How long does setup take?

A standard configuration with one CRM, one intake and a prepared FAQ document is typically live in under one business day. Deadline-reminder schedules per programme are configured on top of that.

What does it cost?

Follow-up and reminder calls are billed by usage on the published plans. See the pricing page for current plans.

When is this not a fit?

  • Your enquiry volume is small enough that counsellors already reach every family promptly.
  • Your admission process depends on personal assessment at every step, with no routine questions to automate.
  • You do not hold clear consent for contacting parents or students by phone.
  • You expect the agent to counsel students about career choices.
FAQ

Questions about admissions follow-up.

Who does the agent talk to when the student is under 18?

The parent or guardian. The agent asks who is on the line and, where the enquiry concerns a minor, directs the conversation to the parent or guardian and limits what it collects about the child.

What does the DPDP Act require for children's data?

Section 9 requires verifiable parental or guardian consent before processing a child's personal data, and prohibits tracking, behavioural monitoring and targeted advertising directed at children. Take legal advice on how this applies to your institution and your consent records.

Can it answer questions about fees and scholarships?

It can state fee information you have published and approved. Scholarship eligibility, waivers and concessions are handed to a counsellor, because they depend on individual circumstances.

How are deadline reminders scheduled?

You define the dates per programme and intake. Reminders go to applicants who have not yet completed the step, and stop once your system records completion.

Will counsellors still be needed?

Yes. The agent handles first contact and reminders; counsellors guide families through decisions and handle sensitive conversations.

Which languages can it use with parents?

Hindi, Hinglish, Tamil, Telugu, Kannada, Marathi, Bengali, Gujarati, Punjabi and Malayalam, as well as English and other supported languages.
