Clinics and specialist practices
Practices where a missed consultation wastes a clinician's scheduled time and a delayed follow-up has a care cost as well as a revenue cost.
A no-show recovery agent calls clients before their appointment to confirm or reschedule, and when someone cancels it offers the freed slot to people on your waitlist. The aim is to learn about gaps early enough to refill them, rather than discovering an empty chair after the appointment time has passed.

Businesses selling appointment time to individuals, where the stylist's hour cannot be resold once it has passed.
Pest control, appliance repair, driving schools, tutoring and similar services that schedule a person's time at a fixed hour.
Chains where each front desk is too busy at peak to call everyone, and where a central waitlist across branches can fill gaps that a single desk would not see.
People rarely decide to skip an appointment. They forget, something comes up, the appointment was booked weeks ago, or they could not face the effort of calling to cancel. A text reminder helps when it is seen, but it is easy to ignore and awkward to reply to when what the person actually wants to say is "can we move it to Thursday?"
A voice reminder changes the economics of that moment. The person can answer in one sentence, and the agent can act on it immediately: confirm, move the slot, or cancel and release it. The important point is timing. A cancellation received two days ahead can be refilled; the same cancellation received at the appointment time cannot. The value is in turning silent no-shows into early, actionable cancellations.
The second half of the job is backfill. A freed slot is only recovered if someone is told about it quickly, so the agent calls the next person on the waitlist, offers the slot, and books it if they accept. We have written about the reminder mechanics in more detail in our guide to AI appointment reminders, linked below, and deliberately do not repeat industry no-show percentages here, because they differ greatly by specialty and region. Measure your own rate first.
Vaami reads upcoming appointments from your scheduling system, including client name, phone, service, provider and time, on a rolling basis.
You choose when calls go out, for example two days and then the evening before for long-lead services, or a few hours before for same-day ones.
The agent names the business, the service and the time, and asks if the client is still able to attend.
A yes is logged as confirmed. A no or a maybe starts the reschedule path. No answer triggers a retry or an SMS fallback.
For a reschedule, the agent reads available times from the live calendar, offers two or three, and books the one the client picks, releasing the old slot.
If the client wants to cancel, the agent cancels, asks an optional reason, and offers to rebook later rather than ending cold.
A released slot is matched to waitlisted clients by service, provider and time, with the nearest-time slot offered first.
The agent calls the waitlisted client, offers the slot, and books on acceptance; on refusal it moves to the next person, up to a limit you set.
On confirmation, the agent can repeat preparation notes you provide, such as fasting, ID to bring, or arriving ten minutes early.

We do not promise a result here. Define each metric before launch, record a baseline, and compare a called cohort against a control group where you can.
| Metric | How to define it |
|---|---|
| No-show rate | Appointments where the client did not attend and did not cancel, divided by appointments scheduled, by service and provider. |
| Confirmation rate | Reminder calls ending in a confirmed outcome divided by appointments reminded. |
| Early cancellation share | Cancellations made at least a set number of hours before the slot, divided by all cancellations. This is the number backfill depends on. |
| Slot recovery rate | Released slots later filled divided by released slots. |
| Time to refill | Median time between a slot being released and being rebooked. |
| Reschedule completion | Reschedule requests that ended in a new confirmed booking divided by reschedule requests. |

A standard configuration with one scheduling system, one location and a single reminder cadence is typically live in under one business day. Waitlist rules across multiple branches take longer to design.
Reminder and backfill calls are usage-based on the published plans. See the pricing page for current plans.
Reminders help most when they let the client act on the spot. We do not quote an industry-wide figure because specialties differ. Our reminders guide explains the mechanics, and your own no-show rate before and after, by cohort, is the number that matters.
You set the matching rules: service, provider, location and how close in time the slot is. The agent calls in the order you define and stops after a maximum number of attempts per slot.
Record their channel preference and the agent skips the call, using SMS or WhatsApp where your setup supports it. Voice is an addition to your channels, not a replacement.
It books only against availability your scheduler reports and re-checks the slot at the moment of booking. If the slot is gone, it offers the next options rather than guessing.
Only partly. If most revenue comes from walk-ins, the reminder job has little to act on; the after-hours and inbound pages may be a better start.
