What is AI Receptionist?

An AI receptionist is a voice agent that answers a business's incoming calls, handles common requests such as bookings, questions and message-taking, and transfers to staff when needed, at any hour.

Also known as: virtual receptionist, AI answering service, AI front desk

What it does

It answers in the business's name, finds out what the caller wants, answers questions from the business's own information, books or changes appointments in the connected calendar, takes a message when no one is free, and passes urgent or complex calls to a person. Afterwards it logs the call and summary.

Versus a human or answering service

A human receptionist handles nuance and in-person tasks; an answering service takes messages but rarely books or resolves. An AI receptionist sits between: always on, consistent and able to act on systems, but limited to what it has been set up to do. Many practices use it for after-hours and overflow rather than as a full replacement.

When not to use it

Calls from distressed or highly sensitive callers, complex negotiations, or any situation where the caller needs empathy first are poor candidates. Configure instant transfer for those and make sure someone is reachable when it triggers.
